Before you start

Check your access

Make sure you can open the Compliance area and edit the records used in this guide. If an action is missing, ask an account administrator to review your role.

In the product

Do this in Arcova

  1. 1

    Open credentials

    Go to Compliance, then Credentials.

  2. 2

    Add the credential

Select Add Credential, choose the employee and credential type, then enter the credential number, issue date, and expiration date.

  3. 3

    Attach proof when required

Upload the credential document when the selected type requires one, then select Create Credential.

  4. 4

    Check upcoming expirations

Open Expiring Credentials to review items by urgency. Open a credential and select Renew Credential when replacement details are available.

  5. 5

    Confirm assignment readiness

Verify that the credential shows the expected status before the officer is assigned to a restricted post.

Recommended setup

Define credential types and enforcement rules

  1. 1

Create credential types with renewal windows.

  2. 2

Set required credentials by post or site.

  3. 3

Choose enforcement mode (block or warn) for each requirement.

Recommended setup

Attach credentials to officers and monitor expiry

  1. 1

Store issue and expiration dates on each credential record.

  2. 2

Use expiring views to prioritize renewal actions by urgency.

  3. 3

Notify supervisors before assignment risk windows open.

Recommended setup

Manage exceptions with accountability

  1. 1

Use temporary exceptions only when policy allows it.

  2. 2

Record approver, reason, and expiration for every override.

  3. 3

Review exception frequency to identify policy drift.

Final check

You are done when

Credential dates and documents are current, site or post requirements are connected, and expiring items appear in the correct status.
